The York Room: Guidelines for Use

The York Room (formerly known as York Chapel, 229 Gray Building) has been renovated and refurnished by the Divinity School and the Department of Religion. Roger Loyd (Director of the Library) prepared these guidelines; David Toole (Divinity School) and Richard Jaffe (Department of Religion) approved them.

Typical uses for the York Room:
library reading room, lectures, meetings, receptions, and (on rare occasions) meals. For calendar year 2007, only Divinity School or Department of Religion events are permitted in the York Room.

Use as a reading room:
During library hours, the York Room will serve as a library reading area, with its doors open into the library (except when other use of the room has been booked). Access to or from the second floor hallway will not be provided, except for emergency exit. The library staff will lock and unlock the room for reading use. The library staff will put some of the library's collection on the bookshelves. The room's maximum occupancy is ninety-nine persons when used as a reading room, for fire safety reasons. When used as a reading room, library rules for food and drink apply: no food, drinks in covered containers only.

Scheduled uses:
The Divinity School has reserved the room each Monday from 8:00 am to 5:00 pm during the academic year. The room will not be used as a reading room on Mondays until after 5:00 pm. The Department of Religion has a priority for use of the room on Thursday afternoons from 12:00 noon to 6:00 pm. If the department does not schedule the room on Thursdays, reading room or other uses are allowed.

For use of the room, persons in the Department of Religion or the Divinity School should follow this pattern:

  1. Contact Roger Loyd (660-3452 or roger.loyd@duke.edu) to determine whether the use will be allowed. Include the date, time needed, purpose, and contact person with telephone number and email address. When Loyd is unavailable, he will designate a library staff member to respond to inquiries about uses of the York Room; the library will ordinarily respond to requests within twenty-four hours. The library requires at least a week's advance request for all events, to allow for posting of information to library users and sufficient notice to the Housekeeping staff.
  2. After approving the event, Loyd will inform Diane Decker, who will place the use on the official Divinity School calendar. Time booked will normally include one hour before and one hour after the event for preparation and returning furniture to its original location after the event.
  3. The only furniture that may be moved is the chairs. Tables are to remain in their original locations except for very unusual occasions, to be discussed well in advance. Groups reserving the room must return the furniture to its original position afterwards, and must complete all cleanup and furniture moving before the end of the reserved time. If significant furniture moving is required, the Divinity School will arrange for movers, to be paid by the group booking the room.
  4. When the room is to be used for an event, the library staff will unlock the doorway into the hall on the second floor and will lock the doors into the library (to be opened only for emergency exit), and will reverse this pattern after the event. The library staff will create signs for the library side of the doors so that events are not interrupted by persons seeking reading space. The library is not responsible for setup, furniture moving, or cleanup from events; this responsibility falls on the group that books the use of the space.

Equipment:
The York Room has wireless internet access and electrical power to serve readers sitting at the tables. It neither has its own audio-visual equipment nor any method of darkening the room. Groups scheduling any event should provide a sound system if needed. Any other equipment, setup, or furniture needs should be included when making a booking request.

Special note:
The library has reserved the York Room for summer 2007 for exclusive use by library staff members in the project to reclassify the library's collection from Dewey to Library of Congress.
