Utilizing a broad HR body of knowledge, the HR Representative works with assigned units to recruit, develop, and retain a diverse, high-performing workforce.  Partners with managers, staff, and external resources to solve HR-related issues and concerns through communicating, interpreting, and recommending appropriate use of human resource policies and procedures, and services and programs offered by Duke University

Responsibilities

Recruitment Coordination: 35%

  • Manage recruitment processes for librarian, exempt, and non-exempt positions.
  • Assist hiring managers in developing accurate and inclusive position descriptions, with correct classifications.
  • Collaborates with hiring managers, search committees, and Duke Recruitment to develop well-qualified and diverse candidate pools
  • Coordinate onboarding of new employees including processing transactions, processing, sharing resources with hiring department, and coordinating New Employee Orientation Program

Student Employment Management 15%

  • Oversee and improve the student employment for assigned areas, including recruitment, payroll.

Payroll Administration 15%

  • Handle payroll activities for exempt, non-exempt, and student employees

HR Data Management 10%

  • Gather, analyze, and report on HR (both for staff and student employees) metrics, developing spreadsheets and databases as needed.
  • Manage position lists, including creation, delimitation, and reorganization of positions.
  • Prepare reports, analyses and other written communication
  • Ensure accurate and compliant maintenance of electronic files, include maintenance of personnel files

General HR Support 25%

  • Serve as liaison for HR-related issues, for assigned departments
  • Develop, support and/or present training focused on HR policies and procedures and staff development
  • Administer FMLA program, including processing requests, monitoring balances, and educating staff on FMLA requirements.
  • Support the Committee for Continuing Appointment and Promotion the administration of the annual process. Maintain related databases and statistics.
  • Identify and recommend new policy or program initiatives designed to enhance delivery and quality of service.
  • Evaluate and research professional trends and issues within HR         and share and apply knowledge as appropriate.
  • Maintain the DUL employee directory, staff organizational chart, and HR websites.
  • Other duties as assigned

Qualifications

Education:
Required:
  Work requires organizational, analytical and communication skills generally acquired through the completion of a bachelor's degree program.

Preferred:  BA/BS in related field.

Experience:
Required:
  Work requires two years of business, administrative and/or supervisory experience with exposure to supervisory or human resource policies and practices related to employee relations. A master's degree in a related field may be substituted for 2 years of experience.

Preferred:  A combination of three years of human resources or payroll experience to acquire knowledge of human resources policies, procedures, employment laws, and best practices, preference given to previous Duke payroll experience; prior experience working in an academic research library; strong interpersonal, oral and written communication skills; working knowledge of Excel with ability to create and maintain spreadsheets and analyze data; demonstrated ability to establish and maintain cooperative working relationships; ability to exercise good judgment, discretion, and confidentiality; ability to work independently and as part of a team and to handle multiple detailed assignments.

Salary and Benefits

Salary dependent on qualifications and experience; anticipated salary range $54,000-$64,000. Comprehensive benefits package includes 15 days vacation, 14 holidays, 12 days sick leave;   health, dental, disability and life insurance and support for professional development and training.
